Equipment photos offline: check local file access

Prepare equipment photos and reports for an offline review. Check OneDrive or iCloud Drive downloads on your review device and record unresolved access gaps.

By AuditIt Editorial Team · Fact checked

Download the selected equipment photos and report, open them offline on the review device, then record unresolved files and the next review step.
A proposed preparation check for external equipment files: download the selected items, open them offline on the review device and record access gaps.

What to know

  • Download the equipment photos and report selected for the review onto the device you will take.
  • Open the needed files offline in your intended viewing app and record any unresolved access gaps.
  • Use the vendor’s selected-file controls: Always keep on this device in OneDrive, or Download Now and Keep Downloaded on Mac.

Before an offline equipment review, download the external photos and reports you need onto the device you will use, then check that they open without a connection. Record any file you could not review. This is a proposed preparation check for working copies in OneDrive on Windows or iCloud Drive on Mac.

OneDrive: choose the files to keep on this device

Microsoft’s Files On-Demand guide identifies the blue cloud icon in Windows File Explorer as an online-only file: it needs internet access to open. Opening it while connected downloads a local copy.

For visit files, right-click the selected file or folder and choose Always keep on this device. Microsoft identifies these items with a solid green circle and white check. Ordinary local copies can become online-only after the period selected in Storage Sense.

On a Mac, download the needed iCloud Drive items

Apple’s iCloud Drive guide notes that an item may be stored in iCloud Drive without yet being downloaded to the Mac. In Finder, select iCloud Drive, Control-click the relevant items and choose Download Now. Apple says you can work with them without an internet connection once they are on the Mac.

The same guide describes Keep Downloaded for selected files or folders. This is useful when Optimize Mac Storage is enabled and older documents may otherwise be stored in iCloud when space is needed. These instructions concern iCloud Drive files on a Mac.

Check on the device you will take

After preparing the selected files, use this proposed check on the actual review device and in the app you intend to use:

  1. Open the required photographs and report while the device is offline, after downloads have finished.
  2. Match the files you can inspect to the asset, checkout or return stage, and requested views.
  3. Write down any file you cannot open or view clearly, along with the next person or step needed to resolve it.

Keep the result specific to the device, files and viewing app you tried. If a colleague will use a different device, ask them to run the same access check there. For a ZIP handoff, the equipment photo ZIP review guide provides a separate check of the extracted contents.

A report that remains pending

In this fictional example, a coordinator is preparing EQ-031 return files for a visit: overview.jpg, accessory.jpg and return-report.pdf. All three filenames appear in the folder. During the offline check on the visit laptop, the two photographs open, but the PDF cannot be opened for review.

The coordinator can record a useful, limited result:

EQ-031 return files checked on the visit laptop while offline: overview.jpg and accessory.jpg opened. return-report.pdf could not be opened for review. Report access remains pending; the coordinator will check the download and viewing app while connected before the handoff.

The note tells the next reviewer which part of the preparation is unfinished. It leaves the cause of the PDF problem open. When the report can be reviewed, add the follow-up result rather than leaving the earlier access gap unexplained.

Keep access checks beside the condition review

AuditIt’s equipment checkout-and-return workflow organizes submitted evidence for before-and-after review; its equipment damage report uses a single-visit record. The external-file check above prepares working copies for the person doing that review.

AuditIt creates tamper-evident, human-review-ready records. It is not legal certification and does not determine liability.

Frequently asked questions

Does seeing a filename mean the photo is available offline?

A filename alone is not enough for this check. Microsoft documents online-only OneDrive files that appear in File Explorer but cannot open without internet access. Apple likewise describes iCloud Drive items that have not yet downloaded to the Mac.

Is opening a OneDrive file once enough preparation?

It downloads a local copy at that time. Microsoft’s keep-on-device option covers selected visit files that Storage Sense might otherwise make online-only. Check them on your visit device.

How do Download Now and Keep Downloaded differ on a Mac?

Apple describes Download Now as downloading selected iCloud Drive items to the Mac. Keep Downloaded keeps chosen items local when storage optimization might otherwise store older documents in iCloud.

Do I need to download the whole cloud drive?

Choose the files required for the review. Both vendor guides provide controls for selected items. Keep your access note tied to that set.

What if one file still will not open offline?

Record its name and what happened, leave its review pending, and check the download and viewing app when connected. A successful check of the other files does not resolve that remaining item.
