These photos support human review. They do not by themselves establish when a change happened, why it happened, who caused it, or who is liable.

Equipment condition photo checklist: six steps
Use this sequence at both checkout and return:
- Match the set to one asset. Record the asset, fleet, plant, or serial number before taking condition photos.
- Name the planned viewpoints. Use labels that another person can repeat, such as front, left side, rear, right side, working end, or control area.
- Capture the whole view first. Keep enough of the equipment in frame for a reviewer to recognise the area being recorded.
- Add context before detail. When a mark needs a close-up, first photograph where it sits on the equipment, then capture the detail.
- Record exceptions. If access, light, an obstruction, or equipment position prevents a planned view, say which view is missing instead of silently substituting a different one.
- Repeat the labels and order at return. Use the checkout set as the view map. Add extra photos when needed, but keep the planned comparison sequence.
The goal is not the largest possible album. It is two labelled sets that a reviewer can line up without guessing which image belongs to which asset, stage, or area.
Name viewpoints before checkout
“Take photos of the machine” is hard to repeat. “Front, left side, rear, right side, working end” gives the next person a usable sequence.
Choose names that fit the asset family and the language your team already uses. A compact tool, a trailer, and a large machine do not need the same view map. Keep the labels stable within that asset family, and change the template when a different asset needs a different set.
Use a consistent orientation where practical. If “left side” means the left side when facing the direction of travel, write that convention once. Do not rely on a photographer remembering an unwritten rule.
Pair context photos with close-ups
A close-up records detail, but it can lose location. A context photo shows where the detail sits, but it may not show the detail clearly. Use the pair when both pieces matter:
- Take a wider image that identifies the equipment area.
- Keep the mark or item visible in that frame.
- Move closer for the detail image.
- Give both images the same viewpoint or area label.
- Write only what is visible; keep reported explanations and suspected cause in separate fields.
For example, “offside panel — paint mark visible” is an observation. “Hit a gate” is a reported explanation unless the reviewer has a separate basis for that conclusion. The photographs should not merge those two statements.
When a condition needs its own focused record, use a separate equipment damage report rather than turning every checkout or return image into a damage conclusion.

Short labels are easier to use in the field. If the table becomes difficult to scan, group views into a small number of stable areas rather than adding a new label for every photograph.
What if the same angle cannot be repeated?
Do not hide the difference. Keep the planned label, record why the original view could not be repeated, and take the clearest available alternative. A reviewer can then distinguish a real exception from an accidental omission.
Useful exception notes are concrete:
- “Rear view blocked by transport frame.”
- “Working end lowered at checkout and raised at return.”
- “Left side captured indoors at checkout; return image taken outside.”
- “View not captured; access unavailable.”
Avoid turning the exception into a conclusion. Different framing can make a comparison ambiguous; it does not establish that a change happened.
Keep live captures and imports distinct
The record should say how an image entered it. In AuditIt’s vocabulary, capture facts describe a live camera capture. Import facts describe when and how an existing gallery file entered the system; they must not be presented as the source file’s capture time or location.
AuditIt’s current Equipment checkout & return starter uses live-camera-only photo fields. Gallery imports are not an alternative for those fields. If a different system or workflow accepts an older file, label it as an import and keep its import facts distinct from live capture facts.
The checklist on this page does not require location collection. If a workflow does collect location, keep the supplied accuracy and permissions context with that separate record rather than turning coordinates into a certainty claim.

The example does not establish when the paint mark appeared, why it appeared, who caused it, or who is liable. It shows what the two submitted photo sets and notes contain.
Common equipment photo mistakes
Random angles at each stage
Unplanned images may still be useful, but they are harder to line up. Keep the named sequence first, then add extra photographs.
Close-ups with no location
Pair the detail image with a context view and the same area label. A crop alone may not show which asset or surface it belongs to.
One filename carrying the whole record
Keep the asset identifier, stage, viewpoint, source, and note as record fields. Filenames can change when images are shared or exported.
Captions that jump to cause or fault
Write the visible observation first. Keep a reported account, suspected cause, charge, escalation, or liability decision in a separately owned step.
Treating a missed view as if it were completed
Record the exception. A clear “not captured” entry is more reviewable than a blank field or an unrelated substitute image.
Keep related handover records separate
Condition photographs can sit beside other handover records without replacing them.
